How Incentively uses personal information when organisations run campaigns and when recipients create an account.

Who controls your information?

For campaign and recipient data, the organisation running the campaign is normally the data controller. It decides why recipient information is collected, who is eligible, what communications are sent and how long campaign records are needed. Incentively normally acts as its data processor and handles that information to provide the service.

For your Incentively account and the platform itself, POP QUEST LTD is the data controller. This includes login details, saved rewards, brands you follow, notification choices, support enquiries, security records and how you use Incentively.

The same person may therefore have two separate relationships: one with the organisation providing the reward and another with Incentively when they create or use an Incentively account.

Information we may collect

  • Account details such as name, email address, password hash and account preferences.
  • Business account information, team membership, permissions, organisation profile and campaign settings.
  • Campaign eligibility and fulfilment information supplied by an organisation, such as an email address, approved domain or anonymous employee/reference number.
  • Reward and claim records, including claim time, campaign, delivery status and the reward allocated.
  • Brands followed, update and alert preferences, and reward requests.
  • Support messages and correspondence.
  • Technical and security information such as IP address, browser, device type, login events, audit records and pages viewed.

How we use information

  • To create and secure accounts.
  • To check eligibility, allocate rewards and deliver promotional vouchers.
  • To save rewards in My Rewards and remember your choices.
  • To provide campaign analytics to the organisation, including internal counts of landing-page, claim-page and company-page views.
  • To provide support, prevent misuse, investigate security incidents and maintain reliable services.
  • To send brand updates or reward alerts only where the relevant preference has been enabled.

Lawful bases

Depending on the activity, we rely on performance of a contract, legitimate interests in operating and securing the service, compliance with legal obligations, or consent. Consent is used where required for optional marketing communications and non-essential cookies. You can withdraw consent without affecting earlier lawful processing.

Marketing and brand relationships

Receiving or claiming a reward does not by itself subscribe you to marketing. Following a brand, receiving its updates and receiving reward alerts are separate choices. You can change them independently in My Rewards. An organisation remains responsible for its own marketing and lawful basis.

Sharing information

We share information with the organisation running the relevant campaign and with service providers that help us host, secure, email, support and operate Incentively. They may only use information for the agreed service. We may also disclose information where required by law, to protect rights or security, or as part of a business reorganisation with appropriate safeguards.

International transfers

Some service providers may process information outside the United Kingdom. Where this happens, we use an applicable adequacy decision or approved contractual and organisational safeguards.

Retention

We keep information only for as long as needed for the purpose collected, contractual and legal requirements, fraud prevention, dispute handling and secure backups. Organisations control retention of their campaign data, subject to our contract and legal duties. Account information is deleted or anonymised after a valid deletion request unless it must be retained. Backup copies may remain for a limited recovery period.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict, object to or receive a copy of your personal information, and to withdraw consent. For campaign data, contact the organisation running the campaign first; we assist it with valid requests. For your Incentively account or platform data, contact us directly.

Complaints

Please contact us first so we can investigate. You may also complain to the UK Information Commissioner’s Office.

Children

Incentively is intended for business campaigns and is not designed for children to create independent accounts unless an organisation has established an appropriate lawful process and any required parental involvement.
